Expo Stallholder Terms & Conditions
Stall Bookings
All stall bookings are subject to availability and are confirmed only once full payment has been received. Upon confirmation, the stall space is allocated and reserved specifically for the exhibitor’s business.
Payments
All stall fees must be paid in full by the due date stated on the invoice. Failure to complete payment may result in the stall being released and offered to another exhibitor.
Cancellations & Refunds
Australian Schools Disability Connection (ASDC) Pty Ltd undertakes extensive promotional activities for its expo events, including outreach to members of the general public, schools, and targeted community groups, as well as broad-based advertising initiatives. However, attendance at each expo event, and the level of engagement with individual stallholders, is ultimately determined by attendees, including people with disabilities, their families, support networks, and other categories of attendees. These factors are outside the control of Australian Schools Disability Connection (ASDC) Pty Ltd. Accordingly, Australian Schools Disability Connection (ASDC) Pty Ltd does not guarantee attendance numbers, visitor volumes, or levels of engagement for any expo event. By participating as a stallholder, you acknowledge and accept that variability in attendance and engagement is inherent to such events. Australian Schools Disability Connection (ASDC) Pty Ltd will not provide refunds, credits, or compensation to stallholders on the basis of attendance levels, foot traffic, or the extent of attendee engagement with any stall.
As the stall space is confirmed and reserved for your business, payments are non-refundable in the event of a change of mind.
That said, we’re happy to offer a credit that can be used toward a future expo, subject to availability and the following conditions:
- Credits must be used within [6 or 12] months of the original expo date
- Credits are non-transferable and cannot be redeemed for cash
- Credits may only be applied to stall fees (not sponsorships or add-ons, unless stated otherwise)
Cancellation by the Organiser
In the unlikely event that the expo is cancelled or postponed by the organiser due to circumstances beyond our control (including but not limited to venue issues, government restrictions, or force majeure events), exhibitors will be offered:
- a full credit toward a future expo, or
- where applicable, a refund at the organiser’s discretion.
The organiser will not be liable for any additional costs incurred by exhibitors (including travel, accommodation, or promotional materials).
Stall Transfers & Subletting
Stallholders may not transfer, share, or sublet their stall space to another business without prior written approval from the organiser.
Exhibitor Responsibilities
Exhibitors must:
- Comply with all venue rules and regulations
- Ensure their stall is staffed during expo opening hours
- Conduct themselves in a professional manner consistent with NDIS values and standards
- Hold any relevant insurances required for participation
Liability
The organiser accepts no responsibility for loss, theft, or damage to exhibitor property before, during, or after the expo. Exhibitors participate at their own risk.
Acceptance of Terms
By booking and paying for a stall, the exhibitor confirms that they have read, understood, and agreed to these Terms & Conditions in full.
